Challenge
Several approvers were involved in amending rules, and requests and replies were exchanged by email. Confirming who had approved at which stage meant searching back through email, and progress on each amendment was hard to follow.
As an IT services company, it is asked to explain how its rules are managed during information-security certification audits and customer audits. It needed to keep a reliable record of how each amendment was approved.
Adoption
The company adopted Kiteilog because the approval flow is recorded in the system. Being able to set approval stages to match its own decision-making process was another reason.
Starting with HR rules such as pay, travel and telework, it imported existing files, set up approval stages and began operating with three administrators.
Results and current use
From review request through each approval stage to publication, everything now happens in Kiteilog, and the approval record is kept with each version. Progress on amendments can be checked on screen.
Before amending, the team uses the law check to confirm relevant provisions and review the content.
The company plans to extend the system to rules beyond HR and standardize its rule management.
