The company moved guard assignment notices and on-site job slips from phone calls and paper into the system. The head office and the branch now manage assignments and slips on the same platform.

Challenge
Guard assignments were planned in spreadsheets, and office staff phoned each guard the day before to tell them where to go. Every sudden absence or site change meant calling again, so the scheduler’s workload piled up in the evening.
Job slips were on paper. Guards brought slips signed by clients back to the office, where staff filed them. Late collection delayed billing checks, and checking for lost or incomplete slips took time.
Adoption
Security Sign was developed jointly with this security company. The policy was to move the most burdensome front-line tasks into the system first: daily assignment calls and paper slips.
The head office began with assignment planning and e-signed job slips, and guards were given the mobile app. Once the procedures had settled, the same system was rolled out to the branch.
Results and current use
Assignments are now planned in the system, and guards check their own schedules on their phones. Day-before phone calls are no longer needed, and changes can be communicated on screen.
Clients sign job slips on screen at the site, and the slips are stored as electronic records. Collecting and filing paper is no longer necessary, and the office can check the status of slips at any time.
Vehicle assignments and day-off requests are also handled in the system, and the head office is extending its use to statutory records and training logs.
