Challenge
The security industry is required to create and retain records defined by the Security Business Act, such as guard rosters and training and instruction logs. Managing these on paper or via file-name conventions makes missing entries and storage gaps easy to occur, and companies often end up hunting for documents at audit time. A mechanism that lets teams keep everything in order without strain, even in the gaps between daily work, was needed.
Approach
- 01 Prepared input forms that follow the statutory record formats required under the Security Business Act
- 02 Prevents missing entries and errors at the point of input through required-field checks
- 03 Stores completed records in one place, searchable and exportable by format
- 04 Retains a change history so you can trace when and by whom each record was updated
- 05 Designed for input from either PC or smartphone, to fit how work happens on site
Key success factors
- Compliance with statutory formats
- We designed the input to follow the record formats required under the Security Business Act, so required items are reliably satisfied.
- Fit with on-site operations
- We kept the screens simple and available on both PC and smartphone, so entries can be made even in the gaps between daily work.
Solution
We built input screens that follow the prescribed formats for statutory records, with validation to prevent required fields from being left blank. Completed records are stored in one place and kept ready for output whenever needed. The design also allows integration with the existing operational product (Security Sign).
